BLMS Advanced Chorus Parent Volunteer Form

There are many things that contribute to a successful middle school choral program and I have recently realized that I cannot do them all.  In an attempt to retrieve some of my sanity and continue to run a well-organized, successful program, I am asking for your help.  Please indicate the activities in which you would like to be involved and I will contact you with details.  Return this to school with your student as soon as possible.  THANKS!!!

  Program Layouts for Concerts:  develop concert program complete with songs and ensemble personnel lists.  A program like MS Publisher helps (it is available on my school computer...).  Circle your preference

  Chaperone during school activities:  ride the bus, count and keep track of 5-9 students
Bellevue Square Holiday music trip (in December)
Large Ensemble Festival (in May)
  Sonics Performance:
Create our audition tape
Organize ticket sale and distribution
  Music Library Data basing:  we need to catalogue our music library and keep it in an easy to use and access format on the computer.  I am hoping one of you is much better at doing stuff like this than I am....HELP!

          And now for the BIG volunteer opportunities.....

  Solo & Ensemble Festival:  We are lucky to be able to host the East Shore Music League's annual solo & ensemble festival.  This is a big event complete with many volunteer opportunities of varying time commitment.
Scheduling:  we receive entries in February and must assign  students a time slot with an adjudicator.   Multiple entries and accompanists make this a fun task.  If you like excel spreadsheets and thinking in 10-minute increments, this is the job for you.
Adjudicator Handling:  we will need to contact qualified judges to adjudicate for us (don't worry, there is a list!).  This includes contacting, "hiring" and providing them information for the day (a map on how to get here, etc.) (December-January)
Overall Organization:  help coordinate volunteers for the event (we may be able to get the ASB or PTSA to help us out here), coordinate physical set-up (pianos?  room assignments? signs and maps?), etc.
Certificates:  each participant receives a certificate and seal.  We like to complete these forms throughout the day of the event to be distributed to each teacher at the end of the day.
Refreshment and Lunch:  we need to feed the adjudicators and teachers and keep them well hydrated.  Costco membership helpful but not required.
Miscellaneous volunteer for the day of the event:  we will need help at the check-in table, watching each room, running adjudication forms, staffing practice rooms, and lots others I can't remember right now....
  Disneyland
Chaperone:  spend a fun-filled weekend flying with a very large group of middle school music students, keeping them safe, keeping their directors sane, all in sunny Anaheim, California. 
Filming and recording our audition tape/video/DVD for Disneyland (to be completed near the beginning of the year...maybe even at our first concert?)
Trip organization:  We have not yet decided if we will be planning and organizing part or all of our trip to Disneyland.  We may need help organizing (and these would be separate volunteer opportunities....) air travel, ground transportation, Disneyland particulars, hotel accommodations, and our meal at Medieval Times.  We may still need help (although on a much smaller scale) if we decide to work with a travel agent.
  Diet Coke Requisition:  This is not a real volunteer opportunity, but after detailing everything I would be doing this year without your help, I could really use a Diet Coke right about NOW!!  Thanks!
